Agree the data contract and failure behaviour before connecting the guest login to a property system.
Confirm the exact interface
A PMS vendor name is not an integration specification. Record the product edition, deployment model, available interface and the party authorized to enable access. Ask whether the hotel can use that interface for guest verification and what dependencies or commercial approvals apply.
A browser demonstration against a sample record is not enough to establish production compatibility. Agree a test environment or a controlled test process with the PMS owner. Share credentials through an approved secure route, not a website enquiry form or a public support thread.
Define what the guest must enter
For room and last-name verification, document how room identifiers are represented and which name field is checked. Consider spaces, punctuation, compound names and changes made by reception. Establish what happens when several people share a room or the booking guest is not the person connecting.
Keep mismatch messages useful without disclosing whether a particular person is staying in a room. Decide how reception verifies a legitimate guest and issues the agreed alternative access. The fallback is an operating workflow, not merely an error message.
Treat stay changes as first-class tests
Test check-in, early arrival, a room move, an extension and checkout. If access validity uses checkout information, specify which time zone and source field govern the calculation. Establish when changes become visible and what the system does with existing access after a change.
Do not assume a live event feed exists. An integration may use lookups, scheduled synchronization or another supported mechanism. Describe the actual method, expected timing and monitoring. Reception and IT need the same understanding of what is immediate and what is not.
Design for an unavailable dependency
Agree timeouts, guest-facing wording, escalation and a controlled fallback if the PMS cannot respond. Test recovery as well as failure. Record how repeated requests are handled and how the integration avoids confusing a temporary provider problem with an invalid guest.
Collect only the information needed for the agreed verification. Define who can view integration records and how access and retention will be managed with the customer. These are project decisions to review with the responsible teams, not a blanket compliance promise.
Write acceptance around outcomes
Use a matrix of test stay, action, expected result, observed result and owner. Include a correctly matched stay, an invalid match, a moved room, a changed departure and an unavailable interface. Have reception validate the guest experience while IT and the PMS owner validate their parts of the path.
AirSpot supports scoped PMS verification workflows, subject to the provider interface and configuration. For an integration assessment, provide the PMS edition, interface contact, gateway model, preferred login and required stay behaviour. Do not send access keys in the enquiry.
